Title:                           Fund Development Administrative Assistant

Supervisor:                Director of Fund Development

Classification:            Non-Exempt, Part-Time

Hours:                        20 per week

This position will be responsible for the data entry and updating of all donors, donations, and related information, as well as providing data in report form to staff. This position will standardize and coordinate the entry of data and mining of information, as well as maintain database integrity using Sales Force database.

Responsibilities include:

1. Data Gathering and Entry Support
a. Enter constituent data for all individuals and organizations, including address updates, constituent demographics, and relationship links.
b. Maintain database constituent codes and work with Finance Dept. to create new codes for campaigns and events.
c. Enter returned mail address corrections or other such change of address notification.
d. Extract information and export data to other software applications.
e. Maintain donor records and new gift entry.
f. Produce reports and assist with general analysis of data as it relates to fundraising and donor recognition.
g. Accurately record and track report dates for required of any funding source.
h. Execute annual database clean-up activity with all program components of the Fund.

2. Migration Project

a. We currently use the Exceed platform and will soon begin a migration to Sales Force.
b. Individual will play a large role in this data migration.

3. Administrative Support

a. Maintain and produce event invitation and campaign mailing lists.
b. Assist in producing letters and envelopes for mass mailings.
c. Assist in producing acknowledgement letters for all donor gifts.
d. Produce in a timely manner reports requested from staff.
e. Set up events in Auction Tracker, which includes adding: sponsors, guests and item donors.
f. Provide related assistance as required for special projects and events.


1. College diploma with experience working in a business/fundraising office, or equivalent combination of experience and education may be considered
2. Strong attention to detail, accuracy, and dependability
3. Ability to manage multiple projects simultaneously while meeting deadlines
4. Ability to handle confidential information appropriately
5. Prefer some experience with database management
6. High level of typing accuracy and speed
7. Proficient in Internet research/navigation and Microsoft Office suite
8. Strong interpersonal skills
9. Excellent written and verbal communication skills

Title:                            Receiver

Supervisor:                 Receiving Lead

Manager:                     Director of Processing Operations

Classification:             Non- Exempt, Part -Time

Hours:                         20 – 30 per week

The Receiver is responsible for accepting and handling donations in a responsible and efficient manner.  Position starts at $8.00 an hour with flexible hours and Sunday’s off.


  • Receive donations in a friendly and courteous manner
  • Provide receipts to donors
  • Maintains product by identifying, labeling and placing materials in proper locations
  • Prepares finished stock for shipment by identifying, pulling, crating, wrapping, loading and securing product
  • Load and unload trucks safely by using the proper equipment
  • Maintains a clean and safe work environment


  • No Experience necessary
  • Must be able to read and write legibly
  • Ability to lift 35-50 lbs. frequently
  • Ability to bend, stoop, squat, twist and climb
  • Must have a friendly, courteous attitude
  • Must be able to work Saturdays


Title:                                        Driver

Supervisor:                            Logistics Manager

Classification:                       Non-Exempt, Part–time

Hours:                                                30-36 hrs. per week

The Driver is responsible for picking up local donations at donor households and/or companies in a responsible and efficient manner.


  • Pick up scheduled donations in a friendly and courteous manner
  • Secure donations to prevent breakage using proper equipment
  • Load and unload trucks safely using proper equipment
  • Transport donations to Warehouse for processing
  • Transport merchandise to retail stores
  • Maintains a clean and safe work environment



  • Must be 25 years of age or older
  • Must have clean driving record
  • Must be able to read and write legibly
  • Ability to lift 100 pounds or more
  • Ability to bend, stoop, squat, twist and climb
  • Preferred experience in driving box trucks
  • Must have friendly, courteous attitude
